Position Description – AGC Administration officer

The Australian Geoscience Council is the peak body representing eight geoscience member organisations and covering around 8,000 professional geoscientists.


The administration officer supports the Board (Executive, past Chair, past President and committee chairs) in the general operations of the AGC. The position is part-time with flexible hours, apart from the times of AGC and committee meetings. Location is not critical, although most current executive members are Perth based. The Council and three committees (Education, Advocacy, Sustainability) meet remotely on a roughly quarterly basis. The Board various times between these meetings.


The preferred candidate should have a degree or substantial experience in the earth sciences, be self-motivated and able to work with minimal supervision. They will need to have good organisational and communication skills.


The position reports to the Secretary of the AGC.


The position will be remunerated on the basis of either an honorarium or to an ABN registered entity on an hourly rate as agreed between the successful candidate and the Executive.


It is anticipated that this job will require around 200 hours of time per year.

Duties;

  • Assist with preparation of the agenda papers and minutes of Board, Council and Committee meetings (a potential total of ~24 meetings per year), in liaison with the Secretary. Minutes are typically generated from recordings of the on line meeting.
  • Monitor follow-up of actions determined at AGC meetings.
  • Administer the annual AGC/AAS Early Career Researcher travel grants and the Aboriginal and Torres Strait Islander Scholarships.
  • Maintain contact details of members of Council and the Committees.
  • Maintain digital records of the AGC, and conversion of old files into a digital format.
  • Act as a “front desk” for the Council for any incoming web queries and distribute these to the appropriate Executive member for action.
  • Track expenditure against the budget, in liaison with the Secretary and Treasurer.
  • Edit content and update the website and social media accounts. (Note that technical support is provided for the administration of the website and the Executive are open to splitting off the social media and website editing parts of the role if needed).
  • Other functions as agreed with the Executive.
